We have an exciting opportunity for an Administrator to join our busy West Sussex Team

 

The post holder will provide effective administrative support, organisational and clerical services to the Young Person and Families Service Lead and Young Person and Families Service (Including U25s Team, Therapeutic Team and Family Safeguarding Team), designed to contribute towards its aims and objectives.

 

You will work flexibly within an agreed number of hours to maintain the most appropriate level of service provision and will be based in our YP and Families admin office base.

 

Where: Worthing 

Full Time Hours: 37.5 per week 

Full Time Salary Range: £25,077.00 pro rata

 

*Please note: Full-time hours at Change Grow Live are 37.5 hours per week. For part-time roles, the salary and payments will be pro rata based on contracted hours. 

Responsibilities

About the role: 

 

  • As first point of contact within the service, ensure that telephone calls and visits from young people, families, other service users, outside agencies and CGL staff are dealt with promptly and courteously, transferring calls to appropriate personnel when necessary.
  • Make contact with young people, families, other service users and/or professionals to discuss the referral and arrange appointments.
  • Co-ordinate the day-to-day operational requirements of the project base & Senior Management as required, e.g. room bookings, travel arrangements etc.
  • Co-ordinate appointments of staff members, ensuring a high level of communication to ensure their safety when lone working.
  • Effective processing of all correspondence with an oversight of the service inbox (U25s Team, Families Safeguarding Team and Therapeutic Service).
  • Attend and to minute take at team and other meetings as directed by Service Lead.

  

About you: 

 

  • Excellent verbal and written communication skills with service users, professionals and other team members.
  • A professional approach in dealing with highly sensitive and confidential information and people who may be in distress.
  • Knowledge of general office procedures.
  • Experience and skills at minute-taking.
  • IT literacy including proficiency in word processing, excellent knowledge of excel processing and databases as well as data entry and case management systems.
  • Solid numeric skills.
  • Excellent organisational and time management skills.
  • Good interpersonal skills and a willingness to work flexibly as part of a team
